Financial Secretary Duties

  • Accurate accounting of the local union’s collective funds and month-end financial reports.
  • Configuring month-end financial reports with Sage 50 accounting software and Excel
  • Tracking and reconciliation of bank accounts, credit card statements and receipts
  • Remitting monthly dues check-off reporting to the National union
  • Issuing per capita dues cheques to the National union and various industry councils that Local 88 belongs to such as GM Council, Auto Council, Road Transportation Council, POEM Recreation Council, Area Retirees’ Council.
  • Processing weekly employee payroll, scheduling, supervision, recruiting and training of cleaners and bartending staff, ensuring that all certifications such as SmartServe are up-to-date.
  • Accurate processing of union leave payroll, issuing records of employment and T4 slips and uploading to the CRA in a timely manner.
  • Timely and accurate accounts payable and receivable – ensuring all of Local 88’s bills are paid in a timely manner
  • Responsible for tracking of the annual budget and communicating spending to all stakeholders
  • In charge of union hall rentals and scheduling the use of the hall and its various meeting spaces
  • Regularly re-applying for updated liquor licencing and ensuring that bar and hall rental operations comply with AGCO rules.
  • Tracking and ordering inventory of supplies for the union hall, bar and offices
  • Responsible for the electronic key card security system for the union hall and offices and tracking the whereabouts of all cards issued
  • Executive Board member, discussing and debating the business of the union.
  • Ensuring that Local 88’s legal obligations are met to various agencies and all levels of government.

A majority of my time is spent answering calls and messages related to hall rental inquiries.

I spend a great deal of time ensuring that the union hall is rental-ready and ensuring renters have everything they need for a successful event, including providing access to the hall via electronic keycard, monitoring the HVAC and hall temperature as well as the security system.  I am the first point of contact for the security company when the alarm is triggered for any reason.  This often means getting calls on weeknights and weekends, requiring someone to check in at the hall to ensure its security.
